1. Introduction
1.1 About These Terms
These Terms of Service ("Terms") govern your use of the CarBeep Buddy mobile application ("App") and related services ("Services") provided by CarBeep Sdn. Bhd. ("CarBeep", "we", "us", "our"), a company incorporated in Malaysia.
The CarBeep Buddy App is designed for automotive workshop operators, their staff, and authorised personnel. By creating an account or using the Services, you agree to be bound by these Terms and our Privacy Policy. If you do not agree, you must not use the App or Services.
1.2 About the Buddy App
The CarBeep Buddy App enables workshop partners to:
- Receive and manage customer booking requests
- Provide service quotations and manage service workflows
- Manage workshop profile, catalogue, and staff
- Process booking payments through the CarBeep platform
- Access and verify KYC documents for insurance and loan applications
(authorised roles only)
- Communicate with customers via in-app chat
1.3 Relationship with Customer Terms
These Terms are separate from the CarBeep Customer App Terms of Service. Both apps share the same Privacy Policy, which governs data collection and processing across the CarBeep platform.
1.4 Changes to These Terms
We may update these Terms from time to time. Material changes will be notified through the App and require re-acceptance. Continued use after accepting updated Terms constitutes agreement to the revisions.
2. Eligibility and Registration
2.1 Workshop Eligibility
To register a workshop on CarBeep, you must:
- Be a legally registered business in Malaysia with a valid **SSM
(Suruhanjaya Syarikat Malaysia)** registration
- Hold any licences required to operate an automotive workshop in your
jurisdiction
- Have a valid Malaysian mobile phone number for account verification
- Have the authority to enter into binding agreements on behalf of the workshop
business
2.2 Account Registration
Workshop registration requires:
- Phone verification — via OTP sent through WhatsApp or SMS
- Business information — workshop name, SSM registration number, address,
contact details, operating hours
- Service information — supported vehicle brands, services offered, pricing
- Terms acceptance — acceptance of these Terms and the Privacy Policy
You warrant that all information provided during registration is accurate, current, and complete, and that you will maintain the accuracy of such information.
2.3 Staff Accounts
Workshop owners may invite staff members to access the App with specific roles:

The workshop owner is responsible for:
- Granting appropriate access levels to staff
- Ensuring staff comply with these Terms and the Privacy Policy
- Promptly revoking access when a staff member leaves or changes role
- All actions performed by staff under the workshop's account
3. Booking Management
3.1 Receiving Bookings
When a customer submits a booking request through the CarBeep Customer App:
- You will receive a notification in the Buddy App
- You must review and respond to the booking request in a timely manner
- You may accept, decline, or propose changes to the booking
- If you accept, the customer's Deposit (RM50.00) is collected by CarBeep to
confirm the booking
3.2 Service Obligations
By accepting a booking, you agree to:
- Provide the agreed service at the scheduled date and time
- Provide an accurate and itemised quotation before commencing work
- Communicate any changes to the scope, cost, or timeline promptly through the
App
- Complete the service to a professional standard in accordance with applicable
automotive industry standards
- Maintain adequate insurance coverage for your workshop operations, including
coverage for customer vehicles in your care
3.3 Quotation and Final Billing
- You must provide a quotation through the App before proceeding with the
service
- The customer must approve the quotation before work begins
- Upon completion, you submit the final bill through the App
- The customer pays the remaining balance (final bill minus the Deposit) through
the App
3.4 Cancellation by Workshop
If you need to cancel an accepted booking:
- Notify the customer as early as possible through the App
- The customer will receive a full Deposit refund
- Frequent cancellations may result in reduced visibility on the platform or
account suspension
4. Payments and Commission
4.1 Payment Flow
All customer payments are processed through the CarBeep platform via our payment processor, Stripe. The payment flow is as follows:
- Customer pays the full service bill through the App
- CarBeep collects the payment on behalf of the workshop
- CarBeep deducts its commission (see Section 4.2)
- Workshop receives the remaining amount (bill minus commission)
4.2 Commission
CarBeep charges a commission on each completed booking transaction. The commission structure is as follows:
- Commission rate: [COMMISSION PERCENTAGE]% of the total service bill
- The Deposit (RM50.00) paid by the customer at the time of booking is an
advance portion of the total service bill, not an additional fee. Commission is calculated on the total service bill amount (which includes the Deposit portion)
- The commission rate may vary based on your partnership tier or any promotional
agreements
- The applicable commission rate will be clearly stated in your workshop
partnership agreement and visible in the App
- CarBeep reserves the right to modify the commission rate with **thirty (30)
days' prior written notice**
4.3 Payout Schedule
- Payouts are processed on a [WEEKLY / BI-WEEKLY / MONTHLY] basis
- Payout details and transaction history are available in the App dashboard
- CarBeep is not responsible for delays caused by your bank or payment provider
4.4 Taxes
You are solely responsible for:
- Registering for and complying with all applicable tax obligations (including
SST if applicable)
- Accurately reporting income received through the CarBeep platform
- Paying all applicable taxes on your workshop income
- CarBeep does not provide tax advice
5. Workshop Profile and Content
You agree to maintain accurate and up-to-date information on your workshop profile, including:
- Business name and SSM registration number
- Address and operating hours
- Contact phone number and email
- Supported vehicle brands and service categories
- Service pricing (where displayed)
You may upload photos of your workshop (logo, banner, gallery images). By uploading photos, you:
- Warrant that you own or have the right to use the images
- Grant CarBeep a non-exclusive, royalty-free licence to display the images in
connection with the Services
- Acknowledge that images must not contain offensive, misleading, or
inappropriate content
5.3 Reviews
Customers may post reviews and ratings about your workshop. You acknowledge that:
- CarBeep does not edit or control customer reviews
- You may respond to reviews through the App
- CarBeep may moderate reviews that violate our content guidelines
- You may not incentivise or coerce customers to post positive reviews or remove
negative reviews
6. Customer Data and Privacy
6.1 Customer Data Access
Through the Buddy App, you and your authorised staff may access certain customer information necessary to provide the booked service, including:
- Customer name
- Vehicle information (make, model, year, plate number)
- Service requests and booking notes
- Chat messages related to the booking
6.2 Data Use Restrictions
You agree that:
- Customer data accessed through the App may only be used for the purpose of
fulfilling the booked service
- You shall not export, copy, download, or store customer data outside of the
CarBeep platform except as necessary to perform the service
- You shall not contact customers outside of the CarBeep platform for marketing
or solicitation purposes using contact information obtained through the App
- You shall not share, sell, or disclose customer data to any third party
- You shall comply with all applicable provisions of the Personal Data
Protection Act 2010 ("PDPA") with respect to customer data
6.3 Data Breach
If you become aware of any actual or suspected breach of customer data security:
- You must notify CarBeep immediately at partner-security@carbeep.my
- You must cooperate with CarBeep's investigation and remediation efforts
- You must take immediate steps to contain the breach and prevent further
unauthorised access
7. KYC Document Handling (Authorised Roles Only)
7.1 Applicability
This section applies only to users with the Admin or KYC Officer role who are authorised to access and process KYC (Know Your Customer) documents for insurance and loan applications.
7.2 KYC Officer Responsibilities
If you are assigned the KYC Officer role, you agree to:
- Handle all KYC documents with the highest level of confidentiality
- Access documents only for legitimate business purposes (document verification,
partner submission)
- Not copy, screenshot, download, or retain documents outside of the CarBeep
platform except through the authorised download function
- Log out of the App when not actively using it
- Report any suspicious activity or potential data breach immediately
7.3 Document Verification
When verifying KYC documents:
- Review documents for authenticity, completeness, and legibility
- Approve or reject documents with clear reasons
- Do not make lending, insurance, or eligibility decisions — this is the
responsibility of the financial institution or insurance provider
- Follow the verification procedures documented in the CarBeep KYC Staff
Training Guide
7.4 Partner Submission
When downloading documents for submission to insurance or loan partners:
- Select the correct partner from the partner registry
- Provide the reason for download (insurance submission, loan submission, or
verification)
- Use only approved submission channels (partner portal or encrypted email)
- Confirm deletion of local copies after submission
- All downloads are logged and audited
7.5 Consequences of Misuse
Misuse of KYC documents, including but not limited to unauthorised access, copying, distribution, or failure to follow handling procedures, may result in:
- Immediate suspension or termination of your account
- Removal of your KYC access privileges
- Legal action under the PDPA and other applicable laws
- Reporting to relevant authorities
8. Intellectual Property
8.1 CarBeep's Intellectual Property
The App, including its design, features, content, logos, trademarks, and software, is the property of CarBeep or its licensors. You are granted a limited, non-exclusive, non-transferable, revocable licence to use the App in accordance with these Terms.
8.2 Workshop Content
Workshop names, logos, and descriptions remain the intellectual property of the respective workshop owners. By listing on CarBeep, you grant us a licence to display this content in connection with the Services.
9. Privacy and Data Protection
9.1 Privacy Policy
Your use of the App is governed by our Privacy Policy, available at:

The Privacy Policy describes how we collect, use, and protect personal data for both workshop partners and customers across the CarBeep platform.
9.2 Workshop Data Collection
CarBeep collects and processes the following workshop data:
- Business name, SSM registration, address, and contact details
- Workshop owner and staff personal information (name, phone, email)
- Transaction and booking data
- Chat messages and communications
- App usage data
9.3 Audit Logging
All access to sensitive data (customer information, KYC documents, financial records) is logged with timestamps, user identification, and action type. These logs are retained for audit and compliance purposes as described in our Privacy Policy.
10. Account Suspension and Termination
10.1 Suspension by CarBeep
CarBeep may suspend your workshop account if:
- We reasonably suspect fraudulent, abusive, or illegal activity
- You materially breach any provision of these Terms
- You fail to respond to bookings consistently (chronic non-responsiveness)
- Customer complaints reach an unacceptable level
- Your SSM registration or workshop licence lapses or is revoked
- Your staff mishandle KYC documents or customer data
10.2 Termination by You
You may request termination of your workshop account by contacting support@carbeep.my. Upon termination:
- All pending bookings must be completed or cancelled
- Outstanding commission payments will be settled within thirty (30) days
- Your workshop profile will be removed from the platform
- Customer data accessed through your account will no longer be accessible
- KYC documents and audit logs will be retained as required by law
10.3 Termination by CarBeep
CarBeep may terminate your account with thirty (30) days' notice for convenience, or immediately if you materially breach these Terms.
10.4 Effect of Termination
Upon termination:
- Your right to use the App ceases immediately
- Accrued payment obligations survive
- Data protection obligations survive as described in the Privacy Policy
- Sections of these Terms that by their nature should survive termination shall
survive, including Sections 6, 7, 8, 9, 12, and 13
11. Limitation of Liability
11.1 No Warranty
The App and Services are provided on an "as-is" and "as-available" basis. CarBeep makes no warranties regarding the availability of bookings, revenue, or customer demand.
11.2 Limitation
To the maximum extent permitted by Malaysian law:
- CarBeep shall not be liable for any indirect, incidental, special,
consequential, or punitive damages
- CarBeep's total aggregate liability shall not exceed the total commission
earned by CarBeep from your workshop in the twelve (12) months preceding the claim
- CarBeep shall not be liable for:
- Customer disputes regarding service quality
- Customer no-shows
- Loss of revenue or business due to platform unavailability
- Actions of your staff or subcontractors
- Decisions by insurance providers or financial institutions regarding
applications processed through the platform
11.3 Indemnification
You agree to indemnify and hold harmless CarBeep from any claims, damages, losses, liabilities, and expenses (including legal fees) arising from:
- Your breach of these Terms
- Your workshop's services or business operations
- Any claims by customers related to the quality of your services
- Misuse of customer data or KYC documents by you or your staff
- Your violation of any applicable law or regulation
12. Governing Law and Jurisdiction
These Terms shall be governed by the laws of Malaysia. Any dispute arising out of or in connection with these Terms shall be subject to the exclusive jurisdiction of the courts of Kuala Lumpur, Malaysia.
13. General Provisions
13.1 Entire Agreement
These Terms, together with the Privacy Policy and any workshop partnership agreement, constitute the entire agreement between you and CarBeep.
13.2 Severability
If any provision of these Terms is found to be invalid or unenforceable, the remaining provisions shall continue in full force and effect.
13.3 Waiver
No failure or delay by CarBeep in exercising any right shall constitute a waiver of that right.
13.4 Assignment
You may not assign your rights or obligations under these Terms without our prior written consent. CarBeep may assign its rights and obligations without your consent.
13.5 Notices
We may send notices via the App or to the contact details associated with your account. You may contact us at:

13.6 Language
These Terms are drafted in English. In the event of any conflict between the English version and any translation, the English version shall prevail.
